Privacy Policy

In short: we process only what is needed to print and mail your letter. No account, no advertising, no tracking.

2. Data we process

• Letter data: name and postal address of sender and recipient, the letter text, and the details you provide for the letter type (e.g. customer number, contract end date, amount).
• Payment data: payments are processed by Stripe. We never see card details, only the payment status, the amount and a reference number.
• E-mail address: optional, only if you provide it for the confirmation.
• Technical data: our hosting provider keeps short-lived server logs (IP address, time, requested URL) to secure the service. We do not use cookies or analytics tools.

3. Purposes and legal basis

• Creating the draft, preview and deadline check, and printing, enveloping and mailing your letter – performance of a contract, Art. 6(1)(b) GDPR.
• Processing the payment and keeping invoice records – contract and legal obligation, Art. 6(1)(b) and (c) GDPR.
• Operating and securing the service – legitimate interest, Art. 6(1)(f) GDPR.

4. Recipients

• Pingen AG (Switzerland) prints, envelopes and hands the letter to the postal service. Pingen receives the final letter PDF including both addresses. Switzerland is covered by an EU adequacy decision.
• Stripe Payments Europe Ltd. (Ireland) processes the payment and stores payment and invoice data under its own privacy policy.
• Vercel Inc. (USA) hosts the service, safeguarded by EU standard contractual clauses and the EU-US Data Privacy Framework.
• Postal services (Deutsche Post and national carriers) deliver the letter.
• OpenAI: when you use Lettara inside ChatGPT, OpenAI processes your input under OpenAI's privacy policy. We only receive what ChatGPT passes to our tool (addresses, letter text, letter type).

5. Retention

• Drafts are not stored in a database. The draft is embedded, signed, in the preview and payment link and only exists while you use that link.
• After payment, the letter content and addresses are kept in the payment metadata at Stripe and as a PDF at Pingen so that we can prove printing and mailing. Invoice-relevant data is retained for up to ten years as required by German tax law.
• Server logs are typically deleted after a few days.

6. Your rights

You have the right to access, rectification, erasure, restriction, data portability and objection (Art. 15–21 GDPR), and the right to lodge a complaint with a supervisory authority. Contact us at info@beyerdigital.de and quote the reference number from your payment confirmation.

7. No automated decision-making

We make no automated decisions with legal effect and do not build profiles.
